Role Purpose:

 

To provide both administrative and clerical support to the Functional Leadership, Directors and the 
Management Team; with travel itinerary, correspondence, administration, calendar management and 
routine administrative activities.


Role Details – Key Responsibilities and Accountabilities:

 

  • Support all Business Units in MAF KSA HO as per the assignment given by Line Manager.
  • Provide support to MAF guests as required and assigned by Line Manager.
  • Handling travel itineraries and hotel arrangements of the Functional Leader, Directors and 
  • Senior Managers.
  • Handle incoming calls, screening wherever necessary, and redirecting accordingly
  • Develop an accurate filing in SharePoint and Aconex system for the functional Team and 
  • perform filing on an ongoing basis.
  • Organize official internal and external meetings/business appointments for Functional 
  • Leader, Directors and Senior Managers.
  • Organize Calendar /Diary of the Senior Director & coordinate department related meetings.
  • Help liaise and coordinate communication between Suppliers/Agencies and other 
  • Departments.
  • Organize and handle departmental dispatch & receipts, coordinating with identified domestic 
  • and international courier services.
  • Coordinate with assigned Functional Team to ensure smooth functional operation at all 
  • times
  • Organize interviews for new recruits and arrange travel arrangements.
  • Other tasks that given by superior from time to time.
  • Process Job Legal Request - Contract Agreements /PM, Letters, Payment Certificates, I.T 
  • Request, etc.
  • Process Purchase Requisition, I-Expense Report, Business Mobile Statement-maintain 
  • accurate records of Functional Team expenditures in oracle system and liaise with 
  • procurement / finance
  • Ensure protocol & MAFP rules are implemented based on the guidance
  • Line manager can assign additional work as required by business needs. 


Functional/Technical Competencies:

 

  • Good computer skills; using a variety of software packages, such as Microsoft Word, Outlook, Powerpoint, Excel, Access, etc., to produce correspondence and documents and maintain presentations, records, spreadsheets and databases

  • Ability to coordinate with internal/ external personnel


Personal Characteristics and Required Background:
Minimum Qualifications/education

  • Ideally must be graduate or a senior secondary 

Minimum Experience:

  • A total of 2-3 years of relevant experience with Shopping center/ Retail/ Hospitality/ 

Communities/ Projects industries
