Role Purpose:

The position is mainly responsible to handle a diverse range of legal and administrative tasks for AMBU Legal Department ensuring its smooth day to day operations.

Role Details – Key Responsibilities and Accountabilities:

  1. Develop and maintain database of documents within the AMBU Legal Department, retrieving references and documents required for negotiating, drafting and execution of various agreements prepared by the Legal Department’s lawyers.
  2. Process some of the AMBU Legal Department’s procedural functions under the guidance of lawyers which relieves the lawyers from routine matters.
  3. Review the legal documents in relation to the contracts that need to be reviewed by the lawyers, upon receiving the same.
  4. Track and update the status of job requests within the AMBU Legal Department.
  5. Assist in the finalization of agreements by performing miscellaneous tasks such as highlighting textual changes in draft agreements, collating enclosures to be attached to agreements and other related tasks.
  6. Review incoming correspondence and advising the lawyers of relevant deadlines and notices.
  7. Provide periodic reminders to the Senior Director - Legal and lawyers when necessary.
  8. Assist the lawyers in preparing certain legal documents, such as legal notices, arranging for the service of such notices, obtaining proof of delivery and maintaining legal records.
  9. Allocate legal tasks and job requests amongst the lawyers and ensure that the timelines are followed by the lawyers.
  10. Act as the facilitator for the signing of contracts by MAFP, document management/ tracking and safekeeping of original agreements and ensure the due safety and security of legal documentation and original contracts. 
  11. Responsible for keeping scanned copies for the easy reference and retrieval of original documents.
  12. Prepare legal questionnaires to be addressed to external legal counsels in countries where AMBU intends to operate for conducting due diligence on a variety of subjects, such as corporate law, leasing, labour law, miscellaneous contracts, etc.
  13. Assist the lawyers in the preparation of standard legal documents, including (but not limited to) contractual agreements and letters using legal templates.
  14. Responsible for quality assurance of administrative and paralegal work.
  15. Liaise independently with external lawyers appointed locally or overseas for follow up on the status of legal matters of diverse nature, monitoring of relevant litigation court deadlines and keeping lawyers advised of the same.
  16. Undertake the necessary updates (e.g., tracking of job requests, litigation cases, trademarks) on the internal system/platform of the AMBU Legal Department.
  17. Prepare reports on the different functions supported by the AMBU Legal Department, etc. for submission of such reports internally.
  18. Undertake any translation job related matter as requested by the different members of the AMBU Legal team.
  19. Ensure due and timely processing of invoices of external lawyers.
  20. Miscellaneous administrative support to the AMBU Legal Department such as organizing internal/external meetings and business travel arrangement.
  21. Ensure compliance with the MAFP AMBU’s Code of Conduct, Departmental policies and HC Policies and Procedures at all times.
  22. Be the advocate and ambassador of aligning and cascading the MAFP values in the assigned area of responsibility and ensure that it is adhered to and exhibit the same all the time.

Personal Characteristics and Required Background:

 

Minimum Qualifications/education

  • Minimum University Degree. Paralegal degree in Law is highly desirable.

Minimum experience

  • Minimum 4 - 6 years of work experience in real estate development, preferably experience in shopping mall legal Administrative matters in GCC in a similar role.
