The LCM Specialist is responsible for the following tasks:
1.
Complete and accurate review and validation of system (Yardi) entries related to the deal. The required validation pertains to commercial entries, concessions being extended to the tenant, lease term and pertinent dates related to fit out or renovation ensuring the program coincides with the standard program of Majid Al Futtaim’s (MAF) Retail Delivery (RD) team.

Complete and accurate review and verification of required supporting documents like trade license, VAT registration and other corporate legal documents from the tenant, internal approvals, special instructions that should be reflected in the lease and other pertinent information related to the terms of the deal.

Generation of lease (lease agreement, license agreement, amendments, assignments and terminations) drafts from LCM’s central contract management system (Kofax) ensuring every detail in the generated document is reviewed and consistent with the system (Yardi) entries, lease instructions on the commercial terms and conditions of the lease are correct prior to submission of the lease draft for second level of review. Preparation of municipality agreements including other supporting documents as per LCM standard lease pack are also required to be prepared.

Sending the final version of the lease document to the tenant for signature through LCM’s tenant document library portal (Partner Connect) or by other means like e-signature portal (UAE only) or email, whichever is appropriate depending on the lease type and tenant. Direct communication and collaboration with the tenant is essential to ensure receipt of the lease document is by the tenant’s authorized recipient. This also entails providing support to the tenant for any inquiry they may have about the lease to allow them to sign the document quickly without any issue.

On receiving the signed lease document from the tenant. The Specialist must immediately ensure to meticulously check the signed lease document upon receipt, ensuring all relevant pages are properly signed in full, initialed or stamped on all pages by the tenant’s authorized signatory.

Ensure all pertinent and valid legal documents from the tenant as per LCM’s list of standard tenant’s corporate legal documents are submitted by the tenant to allow fast and efficient review and validation and execution. On payments, validation of submitted payments according to the terms of the lease including payment frequency must be aligned with the signed lease.

The Specialist must have and able to promote “team mindset” and “collaborative spirit” because LCM works hand in hand with other business units, like Leasing, Finance, Retail Delivery team, Mall Management and Legal. The role requires direct communication with any individual responsible for a certain mall from any of these business units and vice versa. The Specialist must be highly analytical, organize and perceptive to be able to identify the requirements necessary to produce a correct document reflecting what is needed and able to identify and articulate the needed support from any of these business units.
8.
LCM maintains a standard naming and filing system, electronic and physical. The Specialist, must be able and capable to adhere to and maintain such standards bearing in mind that the contracts are the heart of LCM operation, hence, the contracts require meticulous and careful handling for ease of searching, sharing and referencing in case of any legal issues or litigation.

Ensure and foster compliance with the organization’s Code of Conduct, departmental policies and Human Capital policies and procedures at all times.

Be the advocate and ambassador of aligning and cascading the organization’s values (Bold, Passionate and Together) and ensure that it is adhered to and exhibit and demonstrate the same at all times to maintain good working relationships with colleagues and peers.
