Associate Manager - Facilities

Managing and safeguarding the quality of services delivered by the service providers aligned with a controlled financial budget. Some of the key priorities include the following:

  1. Project management, supervising and coordinating work of contractors.
  2. calculating and comparing costs for required goods or services to achieve maximum value for money;
  3. directing, coordinating and planning essential central services such as security, maintenance, cleaning, waste disposal and recycling;
  4. ensuring the Premises meets health and safety requirements and that facilities comply with legislation;
  5. checking that agreed work by staff or contractors has been completed satisfactorily and following up on any deficiencies;
  6. using performance management techniques to monitor and demonstrate achievement of agreed service levels and to lead on improvement;
  7. Responding appropriately to emergencies or urgent issues as they arise and dealing with the consequences.
  8. Carrying out regular site audits and inspections to identify any areas that need repairing.
  9. Conducting regular facility audits for safety and compliance.
  10. Controlling all maintenance and facilities spend in line with budgeted levels.
  11. Providing feedback, training, coaching and guidance to Site staff.
  12. Coordinating and facilitating work flow.
  13. Developing maintenance plans.
  14. Financial Budget preparation and Control.
  15. Reporting to senior managers on budgets and resources.
  16. On call for security and facility related issues.
  17. Making recommendations for capital expenditures.
  18. Implementing the policies and procedures for the facilities management entity.
  19. Contributing into the development of the handover strategy.
  20. Providing sustainable measures for the applicable services within the project.
  21. Create, track and manage and all department budgets, and ensure best value.
  22. Seek and investigate saving initiatives to assist in reducing the running costs of all sites.
  23. Negotiate all contracts, commercial terms and scope of work
  24. Create all the required documentation for signoff from finance, legal and management
  25. Manage all the service contracts and ensure services are delivered as per contract.
  26. FM Operational and contract Hard services.
  27. FM Operational and contract Soft services.
  28. Health and safety – ensure all standards and legislation as per Federal, Government or Municipal law.
  29. Corporate Social Responsibility – Represent OI&FM on the CSR committee. Report all required data and investigate and implement Green initiatives (LEED).
  30. Office infrastructure space is maximized and managed
  31. Space and building strategy – long term and short term
  32. Space development – Consult (tenant) and negotiate (supplier) supply FFE as required
  33. Project management - Quote/Negotiate/Cost/Motivate/Execute and Deliver
  34. Ensure all customer services are performed within expected standards
  35. Manage and control tenants fit outs.
